About the role

Atura Wellington is a 108 room 3.5 star hotel catering mainly to corporate and government travelers. We are looking for a full time Reservations Manager to join our busy team to co-ordinate the management of all reservations and to maximise yield management. With a small team of around 30 staff running the day-to-day operations, we promote an inclusive and friendly work environment for you to grow and develop your Hospitality aspirations.

Tasks & responsibilities

  • Co-ordinate the management of all room sales while maximising yield management.
  • Maximising the efficiency of Reservations Agents and/or Supervisors ensuring 24-hour turnaround on enquiries and accurate details on bookings whilst maintaining a high service standard.
  • Assist with the management of web based booking engines at the maximum yield, bearing in mind parity agreements and other rates on offer.
  • Manage Revenue-management software & tools, ensuring all information is accurate, events updated and the relevant department(s) are well informed of data derived from the system.
  • Ensure that allotments, event dates, packages and rates are loaded and displayed correctly in the Property Management System and accuracy against contract conditions.
  • Show initiative to maximise opportunities as they become available to reservations sales area.
  • Report on holdings, occupancy, group blocks as required and pointing out any changes that may impact operations.
  • Work closely with related departments to maximise occupancy.
  • Guarantee the accuracy of reservations data specifically related to tracking agent and company productivity, booking channels and source coding.
  • Participate in the compilation of and active involvement in the budget and business plan process for room revenue related areas.
  • Attend weekly revenue and sales meetings and present pertinent information and accurate data on group holdings, forecast figures and occupancy trends.
  • Represent the department at appropriate meetings, attend guest functions as required and represent the hotel at functions and familiarisations as required.
  • Maintain and process accurate travel agent commission payment as per agreements in place.
  • Encourage effective communication with the sales department regarding sales leads and special promotions.
  • Manage assets within the reservations department so as to protect their long-term investment value.  Report broken or damaged departmental equipment.
  • Actively promoting our Guest Loyalty Program Priority Guest Rewards, with particular attention on membership acquisition and recognition.
  • Ensuring a consistent focus on guests needs and satisfaction; building a culture of exceptional service is paramount, consistently delivering exemplary standards of guest service. 
  • Growing revenue streams ahead of the market with a strong focus on core levers rate and occupancy.
  • Performing and overseeing rate management, in conjunction with the General Manager and Revenue Manager, including setting rates / restrictions, managing allotments and distribution channels to maximise profit.
  • Participate in the Rooms Division departmental P&L statements, with particular attention to Revenue Per Available Room (RevPAR), average rate, occupancy and Rooms profit results. 
  • Guarantee the running of the department in accordance to hotel policies, procedures, guidelines and manuals to ensure compliance, safety and profitability.
  • Create, distribute, and manage departmental roster effectively ensuring that strategies and practices are in place to facilitate the efficient and effective staffing of departments such that financial and service targets are achieved.
  • Maintain staff morale and team cohesion through productive and positive leadership.
  • Actively seek and implement ways to increase team morale, develop and retain team members.
  • Actively record, track and review training and development within the department.
  • Effectively use and monitoring of overtime, annual leave, days in lieu, staff breaks and other staff entitlements.
  • Recruit, train and develop Reservations personnel, including regular performance evaluations and appraisals.
  • Constantly assess training needs of staff and implement or update training manuals.
  • Reviewing and responding to guest feedback effectively and efficiently, developing and implementing solutions to specific service problems.
  • Enthusiastically motivate the Reservations team to contribute to the hotel profitability through up selling and utilisation of the workings of yield manager.
  • Be a brand ambassador for the hotel as well as EVT.
  • Give assistance and support to other departments and/or colleagues when needed.
  • Attend all scheduled meetings.
  • Participate in scheduled training and development programs.
