About the role

The Conference & Event Operations Coordinator is responsible for the operation and administration of events and conferences. The Event Coordinator will provide support to both the Food & Beverage Team and the C&E Sales Team, to ensure event operations are planned, managed, coordinated and delivered in a timely manner, and to the satisfaction of the client.

Tasks & responsibilities

  • Ensure the smooth running of day to day conference & events.
  • Liaising with clients regarding event numbers, timings, dietary requirements and AV requirements.
  • Meeting & greeting clients and hosting site inspections
  • Assisting in F&B operations when required.
  • Assisting in the creation and collating of signage, menus and any other event collateral as required.
  • Assisting the Sales team in any sales or admin based tasks as directed by the Sales Manager.
  • Collaborate with F&B Operations, Kitchen and Front Office as the main hotel contact for the client in preparation for event arrival and execution
  • Engage with a variety of clientele including both corporate and social
  • Develop close relationships with hotel suppliers and other internal stakeholders

Skills & experience 

  • Previous experience in event/F&B operations or coordination
  • Proven ability to work under pressure & demonstrated high levels of organisation and attention to detail.
  • Developed time management skills with the ability to deal with conflicting deadlines
  • Experience using IVVY and Opera operating systems highly regarded
  • Availability to work a flexible roster including weekends and evenings as the business needs dictate
  • A current NSW issued RSA Competency Card
